Accommodation Terms & Conditions
General Terms
Hotel accommodation booked via WYSE Travel Confederation is exclusively available to registered WYSTC delegates.
Room rate, personal extras and payment
- The total price for your accommodation includes VAT and breakfast, full prepayment is required to secure your booking.
- City tax and any additional charges (e.g. minibar, laundry, room service) are not included and must be settled directly with the hotel.
No show, late arrival, cancellation or reservation transfer
- This booking is non-cancellable and non-refundable irrespective of your main delegate registration type.
- Room reservations may be transferred to another registered WYSTC delegate up to seven days before arrival. To request a transfer, please email events@wysetc.org with the full details of the new guest. Please note that WYSE Travel Confederation is not responsible for any financial arrangements between the original and new occupant.
- The name on the hotel booking must match the name on the WYSTC registration. In the case of a transfer, the new guest must also be a registered WYSTC delegate.
- In the case of a no-show, the room will be released the day after the scheduled arrival date at 11:00 hrs.
- If you expect to arrive after midnight, you must contact the hotel by 18:00 (local time) on the day of arrival to confirm your late arrival and provide an estimated arrival time. Failure to do so may result in your room being released.
Hotel requirements
- Guests may be required to present valid photo identification and proof of WYSTC registration upon check-in.
- Check-in and check-out times are set by the hotel. WYSE is not responsible for any charges related to early arrival or late departure.
- Requests for specific room types, bed configurations, or amenities (e.g. early check-in, late check-out, accessibility needs) should be communicated directly to the hotel and are subject to availability and cannot be guaranteed.
- The guest is responsible for any damage to the hotel room or its contents and may be charged directly by the hotel.
- WYSE Travel Confederation acts solely as a facilitator of the accommodation and assumes no liability for the hotel’s services, conduct, or performance.
- WYSE Travel Confederation shall not be liable for any failure or delay in performance due to force majeure events beyond its control, including but not limited to natural disasters, strikes, civil unrest, or travel disruptions.
- Guest information provided for hotel bookings may be shared with the hotel for the sole purpose of managing the reservation, in accordance with GDPR and applicable data protection laws.
