The World Youth and Student Travel Conference is an event of the World Youth Student & Educational (WYSE) Travel Confederation.
WYSTC exists to provide a globally relevant conference for specialists in the youth, student and educational travel industry, offering meetings, seminars and a trading environment that promotes the exchange of ideas, knowledge, expertise, products and services. WYSTC is committed to maintaining the highest standards for its activities and a strict code of professional practices designed to further the interests of the specialist youth and student travel industry.
Participation in WYSTC
Participation in WYSTC is open to organisations that meet the following criteria:
- WYSE Travel Confederation Member Organisations
- Organisations that are members of WYSE Travel Confederation or its associations: IAPA, IASIS, ISIC, ISTC, SATA, STAY WYSE, Study WYSE, WYSE Work Abroad, WYSE Volunteer & Travel. - Other Organisations
- Organisations which have been in existence and trading under their current legal name for two years, and which are active in youth and student travel.
- Organisations that supply support services to specialists in the youth and student travel industry.
- Tourism organisations, official city, state, regional or national tourist and other governmental authorities. Non-commercial; national, regional or international travel associations and non government organisations.
Code of Business Ethics
WYSTC applies the following Code of Business Ethics to all participating organisations.
Organisations must act to further the interests of the youth and student travel industry. Organisations may only trade in their own name and must be able to demonstrate legal rights to, and use of any trade names used in connection with WYSTC.
Participating organisations may not, except by explicit agreement with the organisers, have any outstanding debts to WYSTC or its owner WYSE Travel Confederation.
Organisations that are not members of WYSE Travel Confederation or its associations must:
- report any change in controlling interests of their ownership (except for matters of internal reorganisation), or their trade name, since their last participation in WYSTC.
- be able to demonstrate their financial solvency.
- not have any overdue and unresolved debts to any member of WYSE Travel Confederation.
Code of Conduct
Member organisations of WYSE Travel Confederation are governed by their Code of Conduct.
Registration Rules
All organisations must register under their legal company name, and provide information regarding ownership structures as required. Members of WYSE Travel Confederation must register under the legal company name in which their membership is held. Registered delegates must be individuals who are employees or Directors of the registered organisation, its branches or its majority owned subsidiaries. Branch offices and subsidiaries are defined as entities for which a member organisation can demonstrate a legal controlling interest.
Organisations may make special requests to register delegates that are not employed by the organisation by indicating the special circumstances.
Organisations may register companions, spouses, partners, and other family members not employed by the registered organisation and not conducting trade activities at WYSTC at the Social Pass rate ONLY.
Review Process
Organisations applying to attend WYSTC for the first time, that are not a member of WYSE Travel Confederation, are subject to review by WYSE Travel Confederation. WYSE Travel Confederation can object to the participation of a non-member organisation that fails to meet any of the WYSTC Applications and Participation Conditions contained herein.
Right to Reject
WYSTC reserves the right to reject the participation of any organisation or individual failing to meet its Application and Participation Conditions. Organisations which have been expelled or suspended from WYSE Travel Confederation may not attend. Likewise, members who are not in good standing, as well as individuals who have been sanctioned by WYSE Travel Confederation may not attend.
WYSTC reserves the right to reject as a delegate, a person who previously held a ‘Position of Trust’ in an organisation that went bankrupt. Position of Trust normally refers to Directors, senior officers, managers and shareholders holding significant control.
WYSTC also reserves the right to reject as a delegate any person who has a judgement against him/her for improper business/conduct in any jurisdiction.
Trading Rules
Organisations can only trade on their own behalf, not on behalf of any other organisation.
Organisations participating in the business appointments programme are obliged to keep their appointments.
Organisations unable to keep an appointment or wishing to cancel an appointment are obliged to notify the other organisation in advance of the appointment.
Failure to attend a business appointment without prior cancellation notification is considered a “No Show” and constitutes a violation of WYSTC Trading Rules.
WYSTC registered delegates may not invite, aid or encourage individuals not registered to violate WYSTC’s protected trading environment.
WYSTC delegates have the right to participate in an atmosphere free of harassment or discrimination. WYSTC reserves the right to eject any participant who compromises its peaceful, non-violent and courteous business environment.
Protected Trade Environment
WYSTC reserves the right to define the WYSTC protected trade environment. This will normally extend to all parts of the conference venue wherein trading activity transpires, including, but not limited to, meeting and exhibition space and all official and non-official functions.
Advertising
Advertising is permitted within the stand/booth hired by the exhibitor or where expressly agreed in writing by WYSTC. Only official WYSTC sponsors may use WYSTC sponsorship vehicles for advertising, unless expressly agreed in writing by WSYTC.
Photographs, Film and Video Recordings
WYSTC is entitled to take photographs, make films or video recordings of events during the conference, and use these for advertising purposes or for publication in the media.
If photographs or video footage taken by delegates contains images of conference attendees other than themselves, or their work colleagues, explicit written permission must be obtained from both WYSTC and the parties depicted therein, before they can be published in any media.
Intellectual Property
The name, logo, images, trademarks and all other intellectual property rights of WYSTC shall remain vested in WYSTC or its owner WYSE Travel Confederation. Any unauthorised use of the WYSTC logo, mailing lists, commercial information or other intellectual property is prohibited. Any unauthorised use of the WYSTC name or event to promote organisations, programmes or other event is prohibited and may result in exclusion from attendance at WYSTC and legal action.
Payment Terms
Payment is due as stated on invoice. Registration is valid and complete only upon receipt of payment in full.
Participation and inclusion in the WYSTC Trade Catalogues and other publications are only confirmed upon such receipt. Advertising, sponsorship and exhibition space are confirmed only when registration is complete and upon timely submission of exhibition request and artwork when required.
Letter of Invitation
WYSTC will provide a letter of invitation for visa applications upon completion of registration and upon request.
Sanctions
WYSTC may apply at its own discretion, the following sanctions to any violation of its Application and Participation Conditions or part thereof:
- Written warning;
- Expulsion from the event with immediate effect; and, or
- Barring from WYSTC for one or more subsequent years.
Waiver of these Application and Participation Conditions
WYSTC reserves the right to waive any of its Application and Participation Conditions if such waiver is deemed to “further the interests of specialists in the youth, student and educational travel industry”. Any such waiver is at the sole discretion of the WYSTC management and its organiser WYSE Travel Confederation.
Changes to these Application and Participation Conditions
WYSTC reserve the right to change its Application and Participation Conditions from time to time. Any such changes will be reflected on the WYSTC website under Terms & Conditions. It is the responsibility of registered organisations and delegates to be aware of the Application and Participation Conditions under effect at the time of their registration and participation.
Liability
It is agreed that neither WYSTC nor any of its officers, Directors, members or employees shall have any liability or responsibility for any personal injury, property damage or other loss suffered by a delegate or any of his/her family members or other persons attending the conference with the delegate resulting from the action or inaction of any person other than an employee of WYSTC.
In the event of, or likelihood of, any circumstance which may create an extraordinary risk of injury or damage, WYSTC shall have the right at its sole discretion to determine the course of action to be followed in respect to the WYSTC Annual Conference. In the event that WYSTC cancels or limits the conference for reasons of safety, neither WYSTC nor any of its officers, directors, members or employees shall have any liability or responsibility in connection with such cancellation or limitation and their failure to perform any further obligations attendant to the WYSTC Annual Conference, shall not constitute a breach of contract on the part of WYSTC to hold such conference.
This application for registration, when signed by a delegate, shall serve as an agreement between WYSTC and the delegate, and shall indicate that the above Application and Participation Conditions of this Conference Registration Agreement have been read and understood by the delegate. WYSTC reserves the right to consider as incomplete any registration submitted without signature.
It is expressly noted that WYSTC cooperates with hotels with respect to accommodations in connection with the Conference to assist participants in arranging for accommodations, but all agreements regarding such accommodations are entered into directly between the respective hotels and the participants. WYSTC bears no responsibility for such agreements and cannot in any way be held liable towards participants for any breach committed by such hotels to be sent to lawyer.
Agreement
I confirm that I have read, understood and accept, the WYSTC Application and Participation Conditions upon completion of WYSTC Registration. I accept that WYSTC has the right to ask any delegate to leave WYSTC without refund or explanation, if they are in breach of its Application and Participation Conditions.
